Adult Sponsor Registration Roadmap (Quick Start)

The Quick Start version is a summary of the procedures.  A more detailed version is on the Teachers page on the NWSE website

CWOSE has adopted all of the forms for NWSE, so you will not need to fill out any other set of forms than those described herein!

NWSES (The North West Science Expo System, of which CWOSE is a part) requires the use of its online registration system this year.  If you are unable to use this system, please contact the Fair Director. All adult sponsors MUST register online to access the registration forms.

ALL adult sponsors MUST register online. 

  • Go to the NWSE website and register yourself and your school/organization. 
  • Work with your students to complete a Research Plan for each project. 
  • Determine which ISEF forms are required for each project. 
  • Go to the NWSE registration website and enter each of the projects you will be sponsoring and complete ISEF Form 1.  This must be done before students can complete their part of the online registration. 
  • Send students to the online registration site to complete steps 1 to 6 of the Project Registration Menu. 
  • BEFORE EXPERIMENTATION, have students complete and print the required ISEF forms and get any needed signatures. 
  • IF EXPERIMENTATION STARTED BEFORE NOW, SEE THE “ONE PAGE STEPS” AT THE BOTTOM OF THIS PAGE.
  • Obtain IRB and SRC approval for projects that require it prior to actual experimentation/lab work.
    • o If you don't have an IRB or SRC Locally, or need aid (i.e., what's an IRB?), contact the fair director (we have some volunteers!)
  • Now students can begin their experimentation.
  • After experimentation is completed, (but always before February 10: Note: REGISTRATION BEFORE 8 February 2008 IS $5.00! Registration after 8 February is $10 each) instruct the student researchers to prepare written abstracts of their results.
  • By the submission deadline:  Go to the Adult Sponsor menu on the website and submit each project that will be attending CWOSE, our regional fair.  This is required.
  • If students conducted research or used equipment in an institutional or industrial setting they will need to complete specific ISEF Form information! If they used hazardous chemicals or materials they have other specific ISEF required information to provide.
  • Assist the student researchers in putting together a packet of their paperwork.  Send copies of forms, not the originals.
  • Print the School Registration Form from the Adult Sponsor Menu on the registration website. 
  • For CWOSE entries:  Put together a school package that contains the following:

    -School Registration Form. 

    -All student packets (NWSE registration form, ISEF forms, NWSE abstract form)

    -Registration fees in one check (no purchase orders) made out to OSU Foundation and mail to:

To avoid higher fees, packages must be postmarked by February 8, 2008. (Note: REGISTRATION BEFORE 8 February IS $5.00!) Each project postmarked after 8 February 2008 will be assessed a $10 fee. No projects are accepted for competition after 5 pm on 10 February 2008 in Corvallis.

AFTER THE SUBMISSIONS DEADLINE
  • Assist students in completing a display board for their project and practice their oral presentation. 
  • Encourage your student researchers to prepare research papers that detail their projects. 
  • Bring to the fair the originals of all the project paperwork submitted by mail.

 

Adult Sponsor Registration Roadmap (Detailed Version)

CWOSE ISEF has adopted all of the forms for NWSE, so you will not need to fill out any other set of forms than those described at the NWSE site!

CWOSE will require the use of its online registration system this year.  ALL adult sponsors MUST register online to access registration forms. If you are unable to use this system, please contract the Fair Director

Because of the need for signatures on forms, all forms will need to be printed and mailed to CWOSE by the submission deadline whether you are using online or offline registration. 

The online process offers many advantages.  You and your students will be able to complete forms online and then print them to obtain signatures.  You will not need to complete the forms twice.  All forms except Form 1C, Form 2 and Form 3 will be completed online.  Students may complete part of a form and return later to change or finish it.  Forms may be printed whenever you like.  Adult sponsors may view what their students have entered.  The online process will identify many errors before the forms are mailed to the fair. 

PLEASE NOTE:  Registration fees are due when you mail in your paperwork.  THESE FEES ARE NONREFUNDABLE.  Late fees ($10/project) will be charged if the registration fees are not paid by the submission deadline and if project submissions are substantially incomplete (with possible rare exceptions for extenuating circumstances).  We do have a fund to cover registration for those in need.  The procedure is to submit the request in a letter instead of including the registration fee.  Please note that CWOSE has food and lodging available for participants (we believe we will have no additional cost for this service!), should they wish to arrive on Friday and stay through the Saturday events.    

  • Go to the NWSE website (www.nwse.org) and register yourself and your school/organization.  All adult sponsors in your school/organization must register.  All options for adult sponsors, including all the steps below, are accessed from the Adult Sponsor Main Menu.
  • Work with your students to complete a Research Plan for each project.  The research plan needs to include all the information on the Research Plan Attachment to ISEF Form 1A. 
  • Determine which ISEF forms are required for each project.  Most forms must be completed BEFORE EXPERIMENTATION BEGINS.  The following resources are available to determine the forms and prior approvals required:  (1) the Get Forms page on the NWSE website (www.nwse.org);  (2) the forms flowchart on the NWSE website;  (3) the Intel ISEF Required Forms Boxes (ISEF rules book) OR (4) the ISEF Rules wizard (www.sciserv.org/isef/students/wizard/index.asp ).  Remember that the Intel ISEF Rules are intended to ensure the safety of students, to protect the subjects and environments studied, and to limit the liability of the adults who assist with projects.  ISEF rules are online at: www.sciserv.org/isef/rules.asp .
  • Go to the NWSE registration website and initiate the registration of each of the projects you will be sponsoring.  This is a very quick process.  This must be done before students can complete their part of the online registration. 
  • Complete Checklist for Adult Sponsor Form 1 for each project online.
  • " Send students to the online registration site to complete the steps of the Project Registration Menu. Each student in a team needs to aid in the completion.
  • IF EXPERIMENTATION STARTED BEFORE NOW, SEE THE “ONE PAGE STEPS” AT THE BOTTOM OF THIS PAGE
  • Obtain IRB and SRC approval for projects that require it prior to actual experimentation/lab work.

  • " BEFORE EXPERIMENTATION, have students complete and print the required ISEF forms and get the needed signatures. (Do read the rules, confirm that dates on any forms are in compliance, please!)
  • Obtain IRB and SRC approval for projects that require it prior to actual experimentation. Also complete auxilliary ISEF Forms if required. See ISEF rules to know when required.

Now students can begin their experimentation.

  • After experimentation is completed, or before February 8, whichever comes first, instruct the student researchers to prepare written abstracts of their results.  Even if the abstract is incomplete, it must be submitted on time to avoid late fees.  The submitted abstract needs to be distributed to judges before the fair. 
    A printout of the abstract as submitted online must appear on the exhibit. Nothing else can be labeled “Abstract”, but you may also have a “Summary” at the exhibit.
  • By the submission deadline (February 10 or to avoid late fee: February 8): Go to the Adult Sponsor menu on the website and submit each project that will actually be attending the fair. If this is not done, the projects will not be registered for the fair. The website will tell you whether the project has all the needed information. If not, you will be able to complete any missing items (except signatures) on line.
  • If students conducted research or used equipment at an institutional or industrial setting they will need to have specific ISEF information completed by the scientist that supervised the work. If they used hazardous chemicals or materials they will need to complete the appropriate additional information.
  • Assist the student researchers in putting together a packet of their paperwork. Check to make sure that each student packet includes:

    -An NWSE Project Registration form (printed from the registration website or from the NWSE forms page if registering offline) 

    -Completed and signed copies (not originals) of all necessary ISEF forms. There are additional forms are required for certain projects based on their content - see the Rules.

    -An NWSE Abstract Form.  Abstracts must be submitted on the web or PDF version of the official NWSE Abstract Form.  Do NOT use the ISEF abstract form.

  • Print the School Registration Form from the Adult Sponsor Menu on the registration website. 
  • For CWOSE:  Put together a school package that contains the following:

    -School Registration Form. 

    -All student packets (registration form, ISEF forms, abstract form)

    -Registration fees in one check (no purchase orders: (Note: REGISTRATION BEFORE 8 February 2008 is $5.00!) made out to OSU Foundation and mail to:

AFTER THE SUBMISSIONS DEADLINE
  • Assist students in completing a display board for their project.  See the information about exhibit requirements and display regulations online or go to http://www.sciserv.org/isef/document/index.asp and download the rules and regulations, student handbook and any needed forms.
  • Assist students in preparing to be interviewed by judges.  They should be prepared to explain their project when given a question like: “Tell me about your project.”  They should be ready with an answer that includes the same sort of information that is in an abstract.
  • Encourage your student researchers to prepare research papers that detail their projects.  Any student aspiring to be an ISEF-Finalist should prepare such a paper. 
  • Feedback will be emailed to you following the CWOSE SRC’s meeting in early March.  At this time projects are reviewed for their compliance with the rules as well as completion of all necessary paperwork.  You will be notified of any missing or incorrect paperwork and how to fix any problems.
  • Bring to the fair copies of all the student paperwork submitted by mail.  This should include the original signed copies of all forms. The forms must be available for check in and at the project display, preferably in the project notebook.
